Privacy Policy

Last updated October 2026. "QuoteLoop", "we" and "us" mean Nathaniel Waitzman, which runs QuoteLoop. "You" means the business using it.

The short version

We collect only what we need to send your follow-ups and run your account. We don’t sell data, we don’t show ads, and we don’t read the content of your emails.

What we collect

Your account details: business name, login email, and a scrambled (hashed) version of your password.

What you enter about your customers: their names, email addresses, the job, the quote amount and dates. We hold this on your behalf to send your follow-ups.

Your email connection: your email address, server settings and app password. The app password is encrypted and is never shown in the browser.

Reply detection: to tell when a customer replied, QuoteLoop looks at the sender, date and subject of new messages in your inbox. It never downloads or stores the body of your emails.

Billing: if you subscribe, Stripe handles your card. We receive your plan, payment status and a customer ID, never your card number.

Basic technical data: server logs such as IP addresses and errors, kept to keep the service secure and working.

Cookies

We use one login cookie to keep you signed in and a short-lived cookie for on-screen messages. No advertising or tracking cookies. Pages load a font from Google Fonts, which means Google receives your IP address when the page loads.

Who we share it with

Only the services that help run QuoteLoop: our hosting provider, Stripe for payments, and our email provider for account emails like password resets. Your follow-ups go through your own email provider. We may also share information if the law requires it. We never sell your data.

Your customers

You decide whose details go into QuoteLoop, and you are responsible for having a good reason to contact them. Every follow-up includes an opt-out link. Once someone opts out, QuoteLoop won’t email them again for your business.

How long we keep it

We keep your data while your account is open. If you close your account or ask us to delete it, we delete it within 30 days, except records we must keep by law. Demo accounts are deleted automatically.

Your choices

You can update your details in Settings, disconnect your email anytime, and ask us for a copy of your data or to delete it by emailing us. Depending on where you live (for example, California), you may have additional privacy rights, and we will honor them.

Security

Passwords are hashed, email app passwords are encrypted, connections use HTTPS, and each business can only see its own data. No system is perfectly secure, but we take reasonable steps to protect yours.

Children

QuoteLoop is for businesses and isn’t meant for anyone under 18.

Changes

If we change this policy in an important way, we will let you know by email or in the app.
